Practical case studies

The FAQ’s below relate to the practical case studies that are often raised on information sharing. Whilst every attempt is made to give answers, not every single instance can be covered and there can be legal and technical points that might need to be considered.

Case Study 1


Q: I have had a request from a Local Authority Truant Officer to confirm “some personal details” of a young person stopped in a shopping centre who said he was on his way to visit Connexions. He would only give his name. Can I share my information?


A: Yes, but only if the young person has signed the Confidentiality Agreement and only then can you share minimal personal information such as name, date of birth, gender, address.

You must make sure you record who you are speaking to. Take a note of their job title and their contact details.


Case Study 2

Q: I have followed procedures and shared information about a young person to another agency, now his mother has telephoned me, she is very angry that I got her son “into trouble”. What do I say, and will the company support me?

A: Reassure the mother that the only reason you shared information was because under a “set of rules” the company has previously exchanged with that agency you were obliged to do but also, as his Personal Adviser, you felt it was in her son’s best interests and safety to do so.

Confirm to the mother too that permission to share information had been agreed by her son and given to the company (you) in writing on the company’s Confidentiality Agreement.

The correct use of these documents means the company will support your decision.
